Professional AI Documentation Standard — Sector Annex
Version 1.0
February 2026
PAIDS-E establishes governance, safeguarding, pedagogical, ethical, and evidential standards for the responsible use of artificial intelligence in education and professional training environments. This annex applies the universal PAIDS principles to sectors where documentation supports student safeguarding and welfare, learning assessment and reflective development, institutional compliance and inspection readiness, professional competency development, and educational accountability and quality assurance.
AI must support but never replace student cognitive development, reflective learning processes, critical thinking development, or professional skill formation. AI must not produce assessed student learning outputs.
AI must support safeguarding clarity while ensuring staff safeguarding judgement remains visible, escalation reasoning remains practitioner-led, and student welfare concerns remain authentically documented.
AI documentation tools must not standardise or suppress student reflections, individual learning experiences, cultural or contextual educational factors, or placement and experiential learning narratives.
AI must not produce assessed coursework or portfolio content, replace student authorship, or undermine academic or professional assessment integrity. AI may support structural organisation and formatting only.
Within professional training environments, AI must support reflection structuring, encourage learner self-analysis, preserve practitioner identity formation, and support competency framework alignment.
AI documentation tools must support inspection readiness, evidence clarity, documentation audit trails, and accountability transparency.
Phase 1 — AI Literacy and Awareness (Deferred)
Training programme for students and educators is planned for future release.
Phase 2 — Supervised Documentation Scaffolding
Students use AI tools to structure placement notes, reflective practice documentation, and case and supervision records.
Phase 3 — Competency Alignment Integration
AI supports mapping learner experience to professional competency frameworks, accreditation standards, and learning outcomes.
Level 1 — Documentation Support Compliance
Practitioner and student authorship safeguards implemented.
Level 2 — Institutional Governance Integration Compliance
Formal governance oversight implemented. Training programmes (deferred).
Level 3 — Advanced Educational AI Governance Compliance
Continuous monitoring, safeguarding integration, and institutional transparency reporting implemented.
PAIDS-E affirms that artificial intelligence must strengthen educational clarity, safeguarding protection, and professional development while preserving human learning, reflection, and judgement.
